EventMates Terms of Use

1. Definitions
- Service / EventMates — the "EventMates" software: the Telegram Mini App, Telegram bots and backend used for networking at events (finding like‑minded people, co‑founders, investors, mentors, partners).
- Operator — Individual Entrepreneur Maksim Muratov, registered in Georgia; identification (registration) number 345665336, registration date 30.09.2022, registering authority — LEPL National Agency of Public Registry; legal address: Georgia, Batumi, Zhiuli Shartava avenue, N 32, apartment N87; e‑mail rnd.develop@gmail.com — the sole proprietor providing the Service and acting as personal‑data controller.
- User — an individual using the Service via Telegram.
- Organizer — a person who creates and manages events via the organizer cabinet (their relationship with the Operator is governed by the separate Organizer Agreement) and has access to their event's participant list.
- Profile — the data a User provides about themselves (name, "about", field of activity, goals, links, startup info, etc.).
- Content — any information a User posts in the Service.
- Terms — this document.
2. General provisions and acceptance
2.1. These Terms are a public offer. By launching the Mini App, ticking the consent box and/or continuing to use the Service, the User fully and unconditionally accepts these Terms and the Privacy Policy.
2.2. If the User does not agree, they must stop using the Service.
2.3. The Operator records the fact, date and version of the accepted Terms.
2.4. The Service is provided "as is" and "as available".
3. Subject
3.1. The Operator grants the User the right to use the Service: create a profile, take part in events, search for people and receive AI recommendations, exchange contacts, receive notifications, take part in polls and leave event feedback.
3.2. The Service is an information intermediary and is not a party to relationships arising between Users (including business, investment or employment relationships).
3.3. Contact limits. Access to other Users' contacts is limited: within a single event — no more than 10 participants; within a single club (community) — no more than 5 contacts per calendar month, and no more than 10 contacts per month across all clubs combined. The Operator may change these limits.
3.4. Use of the Service's functionality is free of charge for the User. Attending paid events requires purchasing a ticket (clause 3.6).
3.5. Recommendations ("Match"). New recommendations in the "Match" section are generated automatically once a week (on Tuesdays) — up to 3 new contacts per update — and only within 2 weeks after the User's most recent participation in an event or club. The Operator may change the frequency, number and logic of recommendations.
3.6. Tickets to paid events. An Organizer may make attendance of an event paid. In that case:
- the Organizer is the seller of the ticket and the party to the contract with the User; the Organizer sets the ticket price and the terms of participation;
- the Operator provides the technical means of payment and collects the payment as the Organizer's payment‑collection agent; payments are made in Georgian lari (GEL);
- running the event, its cancellation or rescheduling, and ticket refunds are the Organizer's responsibility and are handled under the Organizer's terms in compliance with applicable law; claims related to the event should be addressed to the Organizer;
- the Operator is not responsible for the running, cancellation, rescheduling or content of a paid event (see also section 9).
4. Registration and authentication
4.1. Authentication is performed via Telegram. On first launch the Service receives from Telegram the account ID, username (@username), language setting, photo link and (if available) the Telegram profile bio. The exact data set is described in the Privacy Policy.
4.2. The User undertakes to provide accurate information and keep it up to date, and is responsible for the data in their Profile.
4.3. The User must not impersonate any other person or organization.
4.4. Telegram is an independent service with its own terms of use. The Operator is not affiliated with Telegram and is not responsible for its operation or availability.
5. Age restriction
5.1. The Service is intended for individuals aged 16 or older (or the age at which, under the User's local law, they may give consent to processing of personal data on their own). By using the Service the User confirms they meet the age requirement.
6. User rights and obligations
6.1. The User may use the Service for personal networking within its functionality.
6.2. The User must not:
- post inaccurate, offensive, discriminatory or unlawful information, spam, or advertising without the Operator's consent;
- infringe third‑party rights, including personal‑data and intellectual‑property rights;
- collect, export or copy other Users' data outside the intended functionality (including automated means, parsing or scraping);
- use other Users' contact details for mailings, marketing or any purpose unrelated to targeted networking;
- attempt to bypass security measures, disrupt the Service, or reverse‑engineer it.
6.3. Breach of clause 6.2 entitles the Operator to restrict or terminate the User's access without notice (including by silently withholding results).
6.4. The Operator may moderate and remove Content that violates clause 6.2 or the law. Violations, bad‑faith Users or unwanted Content can be reported to support: @event_mates_help_bot (or the e‑mail in clause 16).
7. User content and its visibility
7.1. Visibility to other participants. The User understands and agrees that Profile data (name, photo, "about", field of activity, goals, startup info, links) is visible to other Users within events, search, recommendations and the feed, and that contact details may be disclosed to other Users to enable contact.
7.2. Visibility to organizers. An event Organizer has access to the profile data of participants of their event, including export, badge printing and analytics.
7.3. The User may hide their profile and/or individual other profiles using the Service, and may delete their profile (see clause 13 and the Privacy Policy).
7.4. By posting Content, the User grants the Operator a non‑exclusive, royalty‑free licence to use, store, process and display it to the extent necessary to operate the Service (including AI processing, see clause 8).
8. Artificial‑intelligence features
8.1. The Service uses AI (including third‑party providers such as OpenAI) to: structure profile data, build vector representations (embeddings), perform semantic people search, generate recommendations, compatibility summaries and first‑message templates, and — where those features are used — recognize text in images and transcribe audio.
8.2. Accuracy disclaimer. AI outputs (recommendations, summaries, generated messages, matches) are produced automatically, are informational and may be inaccurate, incomplete or wrong. They are not advice, a guarantee of compatibility or a recommendation to take any action. The User makes their own decisions.
8.3. Transfer of data to AI providers, including cross‑border transfer, is described in the Privacy Policy and is based on the User's consent.
9. Networking and offline interaction (important)
9.1. The Service only facilitates introductions between Users. The Operator does not verify Users' identity, trustworthiness, qualifications or intentions, nor the accuracy of the information they post.
9.2. Any communication, meetings (including in person), deals, investments, arrangements and other interactions between Users happen at their own risk. The Operator is not liable for Users' acts or omissions, harm or losses they cause, lost profit, or the accuracy of information they provide.
9.3. Users are advised to exercise reasonable caution when communicating with strangers and at in‑person meetings.
10. Intellectual property
10.1. Exclusive rights to the Service (code, design, texts, databases, trademarks) belong to the Operator. These Terms grant the User no rights other than the right to use the functionality.
11. Personal data
11.1. Personal data is processed under the Privacy Policy, which is an integral part of these Terms.
11.2. By accepting these Terms the User confirms they have read the Privacy Policy and consent to the processing of their personal data on the terms set out there, including cross‑border transfer and AI processing.
12. Notifications and messages
12.1. The Service sends service (transactional) notifications related to the Service and events (schedule, reminders, new recommendations, status changes).
12.2. Informational and marketing messages are sent only with separate consent, which the User may withdraw at any time.
12.3. An Organizer may send Users who are participants of their event notifications and messages related to that event (announcements, changes, reminders, materials).
13. Term, changes and termination
13.1. These Terms apply from acceptance until the User deletes their profile or the Service ceases to be provided.
13.2. The Operator may amend these Terms. A new version takes effect upon publication unless stated otherwise. Continued use means acceptance of the changes. Material changes are communicated additionally.
13.3. The User may stop using the Service and delete their profile at any time. Certain data may be retained for the periods stated in the Privacy Policy (e.g. for record‑keeping and dispute resolution).
13.4. The Operator may suspend or terminate the User's access for breach of these Terms, the law or Telegram's rules.
14. Limitation of liability
14.1. The Service is provided "as is". The Operator does not guarantee uninterrupted or error‑free operation, fitness for the User's expectations, or any particular networking outcome.
14.2. To the maximum extent permitted by law, the Operator is not liable for indirect losses, lost profit, data loss, or the acts of third parties (including Telegram and AI providers) and other Users.
15. Governing law and disputes
15.1. The Operator is registered in Georgia. These Terms and the Operator's activity are governed by the law of Georgia, unless mandatory rules of the User's country of residence provide otherwise. Disputes are heard at the Operator's place of registration with a mandatory pre‑trial (claim) procedure.
15.2. For Users in the EU/EEA, these Terms apply subject to the mandatory consumer‑protection rules and the GDPR of the User's country of residence.
15.3. These Terms are made in Russian and English. In case of discrepancy between the versions, the English version prevails.
15.4. If any provision of these Terms is held invalid or unenforceable, the remaining provisions stay in force.
